Job Description:
This position is responsible for document control related activities with an in-depth knowledge of cross-department procedures. This position will conduct activities such as assisting with proper storage (placing boxes on shelf based on locations from the system barcode), retrieval, retention in accordance with the Record Retention Schedule and destruction of business records in accordance with approved company Records policies and standards. This position will interact with the Records and Information Management Compliance (RIMC) organization on appropriate retention rules. This position will support customer requests and those who need access to the Record Center, support the annual inventory of the center and support the annual records destruction process.
Major Responsibilities and specific job duties:
Provide support to customers by consulting with customers on record storage needs which include utilizing appropriate retention rules for records stored in center, understanding record requirements, retention schedules and information life cycle methods for corporate records. Manage and retrieve data from RCA (Record Center Application), which includes data integrity and processing both simple ad hoc and canned reports. Be able to recommend process improvements, maintenance and manipulation of data; ensure regulatory standards of company/vendor record storage facilities are audited and enforced. Provide training on the appropriate tools used for transmitting records and provide assistance to customers on their records management needs. Coordinate activities related to off-site record storage with vendors. Conduct thorough quality control of microfilm stored, including but not limited to verifying microfilm resolution, density, and methylene blue tests. Ensure all data on the microfilm is readable and legible and resolve any areas that need improving.
Qualifications:
Basic Qualifications:
High school diploma or equivalent work experience
1-2 years of records management experience
Working level knowledge of records management and Microsoft suite of computer software including Word, Excel, PowerPoint, and Access.
This position requires the incumbent to possess interpersonal and intrapersonal skills, the ability to provide oral and written communications, a high degree of initiative and motivation, be able to handle multiple tasks and deadlines, and high work standards.
Ability to function as part of a team in performing high quality customer service and attention to detail is required.
The incumbent should be able to lift up to 35 lbs. and operate heavy equipment (pallet jack).
Qualifications:
Associate degree
3 years of records management experience
Working knowledge of Duke Energy businesses
Working knowledge of legal and regulatory agencies that govern Duke Energy
Familiarity with records management tools and processes
