This position will fully support several SVPs and executive leaders within the company.

A polished professional demeanor and etiquette is required in addition to 5+ years of high level assistance experience.


SCOPE OF RESPONSIBILITIES

Perform advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices.
The Executive Admin will, in the meeting of accountabilities, be in frequent contact with the all levels of executives, managers, employees and parent company.
Externally, the Executive Admin will be in contact with the Board of Directors, customers, distributors and other people within the community.
Prepare and initiate both routine and non-routine correspondence, memorandum, report summaries, etc. as needed with the utmost professionalism and accuracy to the organization, parent company, customers and external community.
Schedule appointments, maintain calendars and schedules, plans meetings (onsite and offsite), make travel arrangements, and coordinate related activities to ensure smooth and uninterrupted business.
Provide administrative support to the executives in a variety of capacities including telephone coverage, copier projects, mail handling, supplies control, and invoice/expense reporting.
Participate in corporate staff meetings and prepares/distributes accurate and timely minutes of meetings.
May supervise an Administrative Assistant and utilizes the assistance of one or more lower level administrative support on a reporting or project basis in the future.
Stay informed of company policies and procedures; answer related internal and external questions within authority and policy.
Resolve, counsel or refer appropriately, routine and complex complaints and/or issues received both internally and externally.
Manage executive area(s) to ensure that all executives are supported and that the workflow is uninterrupted and completed accurately and timely.
Work independently and within a team on special and nonrecurring and ongoing projects. Act as a project manager for special projects, at the request of the CEO, which may include: planning and coordinating multiple presentations, disseminating information, and organizing company-wide events.
Perform other work-related duties as assigned.
QUALIFICATIONS & REQUIREMENTS

Previous Executive Administrative experience supporting two or more C-level Executives required.
Ability to interface well with all departments within the company and represent the respective Executive Officer in a highly professional manner.
Demonstrate the ability to communicate effectively and professionally both internally and with customers and external contacts to the organization.
Possess a high degree of proficiency with MS Office products including Word, Excel, Access, and Power Point.
Must maintain the highest degree of confidentiality and be able to effectively handle sensitive material concerning the organization and the executive's role within the organization.
Demonstrated ability to handle multiple tasks simultaneously.
Exceptional organizational skills required.
Ability to meet designated deadlines is also a critical qualification

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
